1. Introduction

These terms and conditions (“Terms”) govern your use of the Bespoke Exhibits website at bespokeexhibits.com(“the Site”) and any purchase of products or services from us. By accessing the Site or placing an order, you agree to be bound by these Terms in full. If you do not agree, you should not use the Site.

Bespoke Exhibits reserves the right to amend these Terms at any time. Changes will be posted on this page and take effect immediately. It is your responsibility to review these Terms regularly.

2. Definitions

  • “We” / “Us” / “Our” refers to Bespoke Exhibits.
  • “You” / “Your” refers to the person or organisation using the Site or placing an order.
  • “Products” refers to exhibition stands, displays, accessories, and any other goods listed on the Site.
  • “Services” refers to custom/hybrid build design, event hire, and any other services we provide.
  • “Order” refers to a request by you to purchase Products or Services from us.

3. Use of the Site

You agree that you will:

  • Use the Site only for lawful purposes and in a manner that does not infringe the rights of, or restrict the use and enjoyment of the Site by, any third party.
  • Not use the Site to transmit any material that is defamatory, offensive, or otherwise objectionable.
  • Not attempt to gain unauthorised access to the Site, the server on which the Site is stored, or any server, computer, or database connected to the Site.
  • Not use any automated system, including bots, scrapers, or spiders, to access the Site without our written permission.

4. Accounts

To access certain features of the Site, including placing orders, you may be required to create an account. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

You agree to provide accurate, current, and complete information when registering and to update such information to keep it accurate. We reserve the right to suspend or terminate any account that we believe contains inaccurate information or has been used in breach of these Terms.

5. Products & Pricing

We make every effort to ensure that product descriptions, images, and prices on the Site are accurate. However, errors may occasionally occur. If we discover an error in the price or description of a product you have ordered, we will inform you as soon as possible and give you the option to reconfirm or cancel your order.

  • All prices are displayed in the selected currency and are exclusive of VAT unless stated otherwise.
  • Delivery charges are calculated at checkout and will be clearly shown before you confirm your order.
  • We reserve the right to change prices at any time, but price changes will not affect orders that have already been confirmed.
  • Product images are for illustrative purposes. Actual products may vary slightly in colour or appearance due to screen settings and manufacturing tolerances.

6. Orders & Payment

When you place an order through the Site, it constitutes an offer to purchase. We reserve the right to accept or decline your order for any reason, including stock availability, suspected fraud, or pricing errors.

  • An order is confirmed only when we send you an order confirmation email.
  • Payment is processed securely via Stripe. We do not store your card details on our servers.
  • Full payment is required at the time of placing an order unless alternative arrangements have been agreed in writing.
  • For custom or bespoke orders, a deposit may be required before work commences, with the balance due before dispatch.

7. Custom & Bespoke Orders

For custom/hybrid build products and bespoke design services:

  • A detailed quote will be provided before any work begins. The quote is valid for 30 days unless otherwise stated.
  • Once a custom order has been confirmed and production has commenced, it cannot be cancelled or refunded.
  • Design proofs will be provided for approval where applicable. You are responsible for checking and approving all details before production begins.
  • Lead times for custom work are estimates only and may vary depending on the complexity of the order.

8. Delivery

We aim to dispatch all orders within the timeframe stated on the product page or at checkout. Delivery dates are estimates and are not guaranteed.

  • Risk of loss or damage passes to you upon delivery.
  • It is your responsibility to inspect goods upon delivery and report any damage or missing items within 48 hours.
  • We are not liable for delays caused by events outside our reasonable control (see Force Majeure, section 14).
  • If delivery is attempted and fails due to your absence or incorrect address, redelivery charges may apply.

9. Returns & Refunds

For standard (non-custom) products:

  • You have the right to cancel your order within 14 days of receiving the goods, in accordance with the Consumer Contracts Regulations 2013.
  • To exercise this right, you must notify us in writing (by email) within the 14-day period.
  • Goods must be returned in their original condition and packaging, unused and undamaged, at your own cost.
  • Refunds will be processed within 14 days of receiving the returned goods, using the same payment method as the original transaction.
  • We reserve the right to deduct a reasonable amount from the refund if the goods show signs of use or damage beyond what is necessary to inspect them.

Custom/bespoke products are non-refundable once production has commenced, as they are made to your specifications.

10. Event Hire

For products available under our event hire service:

  • Hire periods and pricing will be confirmed at the time of booking.
  • You are responsible for the hired equipment from the point of delivery to the point of collection.
  • Any damage to, or loss of, hired equipment beyond reasonable wear and tear will be charged to you at the replacement cost.
  • Cancellation of hire bookings must be made at least 14 days before the event date for a full refund. Cancellations within 14 days may be subject to a cancellation fee.

11. Intellectual Property

All content on the Site, including but not limited to text, images, graphics, logos, icons, designs, and software, is the property of Bespoke Exhibits or its licensors and is protected by UK and international copyright, trademark, and other intellectual property laws.

You may not reproduce, distribute, modify, or create derivative works from any content on the Site without our prior written consent.

12. Limitation of Liability

To the fullest extent permitted by law:

  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or in connection with your use of the Site or purchase of Products or Services.
  • Our total liability to you for any claim arising under these Terms shall not exceed the total amount paid by you for the specific Product or Service giving rise to the claim.
  • Nothing in these Terms shall limit or exclude our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.

13. Warranties & Disclaimers

We warrant that all Products sold through the Site will be of satisfactory quality and fit for purpose as described, in accordance with the Consumer Rights Act 2015.

  • If a Product is faulty or not as described, you are entitled to a repair, replacement, or refund in accordance with your statutory rights.
  • The Site is provided on an “as is” and “as available” basis. We do not guarantee that the Site will be uninterrupted, error-free, or free of viruses or other harmful components.

14. Force Majeure

We shall not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to: natural disasters, war, terrorism, pandemic, strikes, government action, power failure, fire, flood, or failure of third-party suppliers or transport networks.

15. Privacy

Your use of the Site is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal data.

16. Governing Law & Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

17. Severability

If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision shall be deemed severable and shall not affect the validity and enforceability of the remaining provisions.
